Confirm the service specification

Ask what cake will be made, what serving assumption is being used, when venue access is available and who will receive the cake. Identify the person providing flowers, the permitted placement plan, the stand arrangement and whether you are staying for cutting.

Record the design deadline and the date on which quantities must be confirmed. Avoid promising a particular serving count from a photo. Planned portions depend on the specified cake and cutting arrangement.

Separate the estimate into three blocks

Production: ingredients, filling, finish, construction materials, skilled labor and allocated overhead. Logistics: travel, vehicle allowance, parking, loading, unloading and setup labor. Options: stand arrangements, additional desserts or services you have actually agreed to supply.

Do not count setup time in both production labor and the delivery block. If a third party provides an item, identify that responsibility rather than silently including it in your scope.

Production includes eight hours of hands-on work at a $30 planning rate, $90 ingredients, $40 materials and $50 overhead. Delivery cost includes $30 travel-related costs and 1.5 hours at $30/hour. These amounts are fictional. The different pricing choices illustrate explicit blocks, not a recommendation about margins or fees.

Check event constraints before confirming

An inaccessible loading dock can change travel and setup time. An outdoor display request can change what you are willing to supply. Resolve timing, storage and handoff questions within your actual capabilities before accepting the service. Do not assume that a venue contact has accepted responsibilities that were never discussed.

If guest count rises, revisit cake quantities, construction and labor. If the customer lowers the budget, discuss a different design or service scope and recost it. Preserve the previously agreed quote version.

Terms need their own review

Use a separate, appropriately reviewed agreement for payment, cancellation, rentals and responsibility. This pricing guide does not establish a legally valid contract or a universal nonrefundable-deposit rule.

Baker Quote โ€” $29 one-time supports the production-cost-to-quote workflow. Keep the event-service details explicit when turning your estimate into a customer proposal.
