Use a route-and-service worksheet
| Input | What to record | Sample |
|---|---|---|
| Total driving distance | Planned outward and return miles | 24 miles |
| Vehicle planning cost | Your documented per-mile allowance | $0.50/mile |
| Service time | Driving, loading, unloading, waiting and setup | 1.25 hours |
| Labor planning rate | Rate for the person providing the service | $24/hour |
| Parking or tolls | Expected route-specific charges | $4 |
| Service markup | Chosen addition to modeled cost | 20% |
The per-mile allowance is fictional. It is not an IRS reimbursement rate, deductible amount, insurance valuation or national delivery-fee recommendation.
Worked fee
Delivery cost = total miles × vehicle allowance + service hours × labor rate + route charges
The sample costs 24 × $0.50 + 1.25 × $24 + $4 = $46. With 20% markup, the proposed delivery fee is $55.20 before applicable tax treatment. Present the fee alongside a service description rather than implying that $55.20 applies to every nearby venue.
Count the return and the handoff
If the driver must return to the bakery, include that planned journey. If multiple deliveries share a route, allocate shared travel using a stated rule rather than charging the complete route independently to every customer.
Ask about loading access, stairs, parking, the contact person and the agreed setup location. A 15-minute drive can require another 30 minutes of venue waiting. If setup is excluded, say where and to whom the cake will be handed over.
Quote the uncertainty responsibly
Use realistic planning time, then define what happens if the requested address or service window changes. Do not add an invented penalty after delivery because traffic was worse than expected. Have any terms governing extra charges reviewed and agreed appropriately before the service.
Require nonnegative distance, time and cost inputs. Flag a missing address or undefined setup responsibility. Check that travel labor is not also included in the cake production hours.
Limits of the estimate
This calculation does not determine whether a cake design can be transported safely, replace vehicle or business insurance, or decide tax treatment. Decline a service arrangement beyond your actual capability rather than trying to price away an unresolved production problem.
Baker Quote — $29 one-time helps assemble a customer quote from your costs. Use the independently costed delivery figure as an explicit service item instead of hiding it in the cake's ingredient price.
