Field definitions that prevent ambiguity
Design included describes paid work: colors, finish, number of tiers and purchased decorations. A photo alone is not a specification. Serving assumption identifies the planned cut size rather than guaranteeing that every event will obtain the same portions. Exclusions can identify fresh flowers, venue cutting or stand rental. Expiration records how long the proposed price remains available; it does not itself reserve a production slot.
Show taxes only when you have determined the applicable treatment. A blank tax field should say “to be confirmed,” not silently disappear into a misleading total. Verify business requirements with the relevant agencies; they depend on activity and location. B03

These names, amounts and dates are fictional. The example intentionally shows a subtotal when tax has not been resolved; it is not a final all-in offer.
Send, revise and retain
Review the design with the customer, then send a dated version. If the customer adds a tier, recost the job and issue v2. Retain the prior version so both parties can see what changed. Move payment, cancellation and dispute terms into an appropriately reviewed agreement rather than assuming this form supplies them.
Avoid language such as “all deposits are legally nonrefundable.” Legal effect depends on more than a template. Obtain appropriate advice for the terms you plan to use.
